The Problem With Excel Asset Management

When I took on the IT SPOC role at a global enterprise, the asset register was a shared Excel file. Shared. On a network drive. With three people editing it simultaneously.

The file had 1,847 rows when I inherited it. Within 6 months, it had 212 duplicate serial numbers, 87 assets marked as "In Stock" that had been assigned to users for over a year, and one entire page dedicated to "Don't touch — Reem's data."

This is not a company-specific problem. This is a universal IT problem.

What a Real Asset Lifecycle Looks Like

Most IT teams think about assets as: buy → assign → forget. The real lifecycle is:

The single most important field in any asset record: The warranty expiry date. Nothing creates budget surprises like 50 devices going out of warranty at the same time with no warning.

The Minimum Viable Asset Record

Every asset needs exactly these fields — no more, no less to start:

- Asset Type (Laptop / Mobile / Printer / etc.)
- Make & Model
- Serial Number (unique, mandatory)
- Internal Equipment Number (your internal reference)
- Status (In Stock / Assigned / In Repair / Retired)
- Assigned To (user name + email)
- Location (office / room)
- Purchase Date
- Warranty Expiry Date
- Condition (New / Good / Fair / Poor)

Everything else is optional until you've mastered these. I've seen IT teams build 40-field asset databases they never keep current. A 10-field database that's 100% accurate beats a 40-field database that's 60% accurate every time.

What I Learned From Doing 140+ Onboardings

When a new employee joins, they need IT-ready equipment on Day 1. Not Day 3. Not "we're waiting for the laptop."

The preparation checklist I developed over time:

  • T-14 days: HR confirms start date, IT request raised in SNOW
  • T-7 days: Device sourced from stock or procurement initiated
  • T-3 days: Device imaged, corporate apps installed, Azure AD enrolled
  • T-1 day: Email account created, M365 licensed, teams added
  • Day 1: Device ready at desk. User signature in DocuSign.

The difference between a good IT team and a great one is the preparation done before the user arrives — not the scramble when they show up.

The Disposal Problem Nobody Plans For

Every asset eventually needs to be retired. But in most companies, "retired" means it sits in a storage room for 5 years before someone throws it in a skip.

The proper disposal process:

  1. Data wipe (3-pass minimum, certificated for GDPR)
  2. Asset removed from inventory with reason and date
  3. If reusable: transferred to secondary stock pool
  4. If end-of-life: vendor pickup via certified IT disposal partner
  5. Disposal certificate kept in records (important for compliance audits)

We disposed of 80+ devices in one refresh cycle. The data wipe certificates saved us from a potential compliance question during an audit.

The Key Insight After 10 Years

Asset management is a discipline, not a task. It requires consistent habits — not heroic efforts at audit time.

The IT teams that struggle are the ones who try to do a full asset audit every 6 months. The ones who excel update records in real-time, at every transaction: assignment, repair, return, disposal.

Build that habit in your team, and your asset data will always be accurate. Accuracy means confidence. Confidence means you can answer the CFO's question about IT spend without digging through 5 spreadsheets.

That's the real value of good asset management.

  • Make warranty expiry date a mandatory field and run a monthly report filtering assets expiring in the next 6 months — this eliminates surprise budget requests entirely.
  • Update the asset record at the moment of every transaction (assignment, repair, return, disposal) — real-time accuracy is far less effort than a quarterly reconciliation audit.
  • Keep a "hot spare" pool of pre-configured devices ready for same-day deployment — nothing frustrates new hires more than waiting days for IT equipment on their first week.
  • Always get a data wipe certificate when disposing of hardware — in a compliance audit, proving data destruction is as important as the physical disposal itself.
  • Start with a 10-field asset record that is 100% accurate rather than a 40-field system nobody maintains — simplicity you can keep current always beats complexity you can't.
